Office Administrator / Bookkeeper

The office administrator ensures smooth running of our company office and contributes to driving a great work environment and a great customer experience to our employees and clients. The Office Administrator position is a dynamic multi-faceted role that includes office administration and finance related duties. The ideal candidate will be competent in prioritizing and working with little supervision and is self-motivated, trustworthy and is able to take ownership of their department. Has a high attention to detail. Enjoys services others. Is disciplined and enjoys early mornings in order to be present to turn up the office before the team gets there.
Essential Responsibilities
- Answer telephones and may act as front office receptionist
- Schedule meetings, as requested
- Receive and file incoming letters, or documents, sort and file, as necessary
- Maintain stationary supplies and coordinate the deliveries of supplies
- Maintain front office reception area and ensures office is secured
- Practice good attendance habits to ensure workload is completed, in a timely manner
- Coordinate notification of meetings and calendars, schedule room reservations, and meetings
- Record minutes of staff meetings and maintain records of such meetings
- Arrange travel schedule and reservations
- Maintain bookkeeping needs
- Manage payroll & benefits
- Read difficult source documents, compute invoices for accounts payable and cash receipts for accounts receivable areas
- And other duties as assigned

- Customer Relationship Support (Gifts, Thank You Cards, Mailings, Other)
Finance
- Accounts Receivable Management
- Accounts Payable Management
- Receipt Management
- Reimbursement Management
- Payroll
- Liaison with Accountant & CPA
- Manage Receiving Equipment
- Notify Appropriate Staff of Confirmed /Verified Equipment Upon Arrival
- Recording Deposits and Expenses
- Store/Classify Equipment Until Technician Install (If Delivered at HQ)
- Inventory Management
- Manage Warranty/Return
- Field billing questions
May be required to:
- Create estimates in our quoting system.
- May be required to invoice clients.
- May be required to initiate purchases from vendors
- May be required to update ticket/project status in CRM
- May be required to keep customers informed with their order statuses
- May be required to understand and pick up on additional accounting knowledge

Qualifications
- 5+ years of Office Administration Experience preferred.
- 5+ years in Bookkeeping Experience preferred.
- Excellent knowledge of MS Office
- Excellent knowledge of LinkedIn and Facebook
- QuickBooks or Other Bookkeeping Software Experience Required
- Strong project management, communications, and organization skills.
- Ability to multi-task and balance priorities while also focusing on bringing projects and tasks to completion.
- Strong work ethic, initiative, and attention to detail.
- Excellent written, communication and presentation skills and a friendly, service-oriented attitude.
- High school diploma, degree in office administration, marketing or relevant field is preferred

- Salary range $50,000 - $65,000 Annual Salary DOE (Depending on Experience)

- Due to the nature of our business in Cybersecurity, accepted candidates will be required to pass a drug test, background check and Cybersecurity training.
- Full-time Position: 50 hours Per Week from 7 am to 5 pm, Monday through Friday.
- After-Hours work not common but may be required to meet a deadline or customer needs.
