The Team
The Danmare Group is comprised by a team of over twenty-five Professional Engineers, Designers, and Technologists whose credentials span the electrical, mechanical, civil, chemical, and construction disciplines required to service the specialized needs of the food and beverage industry. The full team comprises a diverse range of talent that allows us to offer the full spectrum of big picture process design to niche level materials handling.
Document Control Specialist
This is a new position at Danmare and we provide the successful individual an excellent opportunity to develop this function, providing standards and protocols, and support to various departments – project management, drafting, bid management, contractor administration, and general management. Our offices are in Canada and the US and your ability to work virtually with all firm members is key.
Responsibilities
- Experienced in establishing a document control center for a professional engineering office, maintaining engineering documents and files.
- Ability to support and assist in the daily functions of project document control.
- Proficient in maintaining and processing engineering submissions
- Collect, retain, retrieve, distribute, and transmit project documents, including baseline documents, reference documents, project reports, communications and transmittals, engineering drawings, vendor documentation, corporate governance, and contract documents.
- Ability to provide written summaries of potential changes, substitutions, monthly reports and meeting notes.
- Maintain project files in hard-copy and electronic retention systems. Retention of electronic files may be accomplished through scanning, posting, and indexing original documents.
- Assist field office staff with the timely retrieval of documents. Support document retrieval and assembly requirements in connection with internal and other audits.
- Conduct periodic quality assurance audits on document files and databases.
- Experience in filing and scanning documents into an electronic document management system and maintaining files for multiple engineering projects.
- Ability to develop and implement a document retention and tracking system which ensures that all relevant documents, permits, correspondence, and RFIs are logged, retained, and responded to as appropriate.
- Perform other support functions such as photocopying and ordering printing services.
- Conduct regular oral and in-person communication with General Manager and team members,
- Ability to identify, categorize and code documents, perform quality control checks as needed, maintain files, and file/retrieve documents from hard copy filing systems.
- Ability to recommend practices, reference other resources, and distinguish between required policies, procedures, and informational resources.
- Support contract closeout activities.
Desired Skills:
- 3 – 5 years of experience in document control in a professional environment
- Completion of CDDMA certification program courses is preferred – or courses in progress
- Strong oral and written communications skills and the ability to apply appropriate communication techniques to various audiences.
- Ability to handle multiple assignments at the same time.
- Demonstrated attention to detail and ability to set and meet deadlines.
- Ability to be organized, accurate, and timely.
- Excellent computer systems skills with working knowledge of computer relational databases, Excel spreadsheets.
- Positive customer service orientation.
- Strong interpersonal skills required, demonstrating a consistent commitment and ability to work with diverse work groups and individuals.
